SOUTH CAMBRIDGE - My client a professional services providor, based South of Cambridge within easy reach of public transport links currently seek an administrative finance assistant for a period of 12 months.
Reporting into the administration department head, you will be responsible for the following:
- Answering telephones and routing calls, taking messages
- General office housekeeping (liaising with cleaners, fire alarm testing, planter watering, organising repairs/maintenance)
- Opening, date stamping and scanning in post, saving onto the server, forwarding post items to clients and/or staff members as appropriate
- Filing of financial records/ paperwork and electronic/scanned documents
- Maintaining archive records and archiving paperwork and electronic files as required; organising destruction of records at appropriate times
- Maintaining and updating client and supplier details on database; setting up new clients
- Assisting with internal data input
- Banking of cheques
- Driving to railway station to purchase weekly train tickets for staff members
- Setting up databases
- Running mailing campaigns (mail merge letters, printing, posting etc)
- Preparing follow-up emails to contacts made at networking events
- Attending accounting networking events
- Assisting with website updates and updates/postings on social media accounts
- Assisting with credit control/chasing invoices, processing of invoices and reconciliation work
- Copy typing and preparation of documents, letters, reports, minutes
- Preparation of Quotations and Engagement Letters; assisting with admin to set up new clients; liaising with clients to ensure completion and signature of relevant document; requesting identification documents from new clients to meet anti-money laundering regulations
- Communicating with clients and potential clients on general matters by telephone and email
- Maintaining timesheet records on appropriate software, allocating time as required to clients
- Producing and maintaining administrative procedures manual
- Assisting other functional departments within the business as may be required, which may include assisting with payroll and accounting workloads if required
- Assisting with filing Annual Returns and other forms and documents at Companies House
- Assisting with the maintenance of the Compliance Diary for all client statutory filing deadlines and ensuring that deadlines are met
- Preparing document bibles (in hard and soft copy formats) following successful completion of client transactions and projects
