Purpose of the Job
To realise the full market potential of all Surgeries within a given geographical area through the provision (either directly or indirectly) of a complete range of business support services. To act as one of the key points of contact with the surgery representing the business to effect change where necessary and provide feedback from the field to HQ.
Principle Responsibilities
Planning
* Compile Annual Budget for each surgery in line with timescales required .
* Develop and propose a local marketing plan for each surgery
* Develop a clear calling plan to ensure all surgeries are visited on a regular basis with priority given to those surgeries most in need of support
Business Management
* Act as the key point of contact and representative of the business for all surgeries within the territory
* Provide business support and guidance to JVPs to ensure all surgeries within the territory achieve their full potential
* Monitor surgery sales and budgetary performance and develop ongoing action plans to achieve these targets
* Act as a conduit between the surgery and the business to ensure all relevant departments are made aware of any issues in a prompt and timely fashion
* Assist surgeries and all members of the practice team with a host of business support activities, including but not limited to:
o Short and long-term business strategies for each business
o Awareness of local market, including competitor analysis, pricing and trends
o Annual budgeting and re-forecasting as required
o Periodic review of Management Accounts and KPI report with JVPs
o H&S and Audit - ensure all action points addressed
o Complaint Handling
o Local Marketing, PR and support of national promotions
o Encourage CSR activity
o Staff training, resourcing (succession planning, recruitment, interviewing) employee relations
o Use of PMS to support individual surgery strategies
o Maintaining professional physical standards of surgery
* Participation and contribution in key CCSL meetings
* To ensure all surgeries comply with CCSL business processes and procedures and identify any areas in need of review
* Look for and share best practice with the Field Ops team
* Ensure the Head of Operations is kept regularly appraised of all key issues across surgeries within the territory
* Keep up to date with PAH refit schedule and liaise with JVP, PAH and CCSL throughout project
* Develop relationships with PAH field and store team, and encourage strong relationships between surgery and store teams. Ensure PAH and CCSL veterinary care and charging protocols adhered to.
* Plan induction and handover process for new JVP's following A Share purchase
Administration
* Complete and file surgery report for each visit
* Collation of period business update on a rotational basis
* Completion of a 4 weekly periodic board reports
* Completion of a monthly call report
* Completion of expense and fuel claims at the end of each period
* Ensure all serious complaints are reported to immediately and submitted as a summary report each period
Personal Development
* Develop and complete an annual development plan
* Develop and improve commercial and business knowledge
* Develop and improve technical knowledge of the veterinary sector protocols.
* Develop and maintain the IT skills necessary for efficient operations management.
Professional Standards
* Present Companion Care in a professional manner both internally and externally.
* Communicate with Companion Care staff and their clients in a professional and competent manner bearing in mind at all times the ethical promotion of its services.
* Maintain company equipment with regard to its long-term upkeep.
* Promote Companion Care as the leading professional provider of small animal veterinary healthcare within the UK.
* Communicate with Head Office personnel professionally and with regard to the broader business picture.
Qualifications, Skills and Experience Required
Qualifications
Essential
* "A" level (or equivalent) education
* Minimum of three years experience in a commercial operations management role
* A full UK Driving Licence.
Desirable
* Degree level (or equivalent) education
* Formal business qualification and some further education to a degree standard or equivalent.
* Experience of the veterinary sector desirable
Key Specialist Skills
Essential
* Wide ranging and sound communication skills for report writing, summarising, negotiation and presenting.
* IT skills for designing and using Excel spreadsheets, of existing CRM reporting system
* Relationship marketing
* First rate Customer Service skills
* Business understanding of accounting balance sheet and P&L interpretation
